Email Communications

We use Rackspace to process all internal and external email communications.

Users and customers that email us will have their email address, IP address, and any data they provide in the Subject Line or Body of the email, stored in Rackspace’s archives/systems/servers.

Marketing Campaigns And Website Contact Forms

We use email marketing to communicate with our users, subscribers, and customers from time to time. All email lists and campaigns are “opt-in” meaning we will not send you these emails unless you subscribe, signup, place an order, or have other interactions on our website. We may send you “system” emails, such as password reset requests or payment notifications/receipts even if you have not opted-in to our email marketing lists. This is for your convenience.

We use MailerLite for email marketing. Users and/or customers that complete any form (types of forms include, but are not limited to, newsletter, sign-up, download, offer, and purchase forms) on our website will have their email address, IP address, and any data they provide, stored in MailerLite’s archives/systems/servers.

If you contact Air Plant Expert through our website by form and/or email you agree and give permission for us to use your email address and data for marketing purposes. We also use Brainstorm Force’s Spectra plugin for Social Share Icons. These icons help our users to share content from this website. The plugin does not store any personal data. If you make a purchase using one of the above payment transaction providers we ask for various types of information. The information we ask for may include, but is not limited to:

  • Email Address – So we can deliver our products and/or contact you if needed
  • First/Last Names – To personalize your experience

Registered Users

If you create an account on our website, you will be prompted to create a Username and provide your Email Address as well as other personal information. When choosing a Username, we strongly advise you not to use your real name. Usernames cannot be changed.

Your Username, Email Address, etc, are stored in the website’s database. Your Email Address is used to send you an email with a link to set your password or to send you an email with a link to reset your password in the event you forget your password. If you request a password reset, your IP address may be included in the reset email. In addition, an anonymized string created from your email address (also called a hash) is provided to the Gravatar service to see if a Profile picture of you is available for display on this website.

You may optionally complete your Profile by providing your First Name, Last Name, Website (URL), and/or Biographical info. These additional details are also saved in the website’s database. You may edit these details, and your Email Address, in your Profile at any time. You may also choose how your name is displayed (your Display Name) to users of our website (for example, in comments you create) in your Profile. How Long We Retain Your Data

We will keep your personal data for the duration of the period you are a user, subscriber, registered user, and/or customer of Air Plant Expert’s website, products, and services. We shall retain your data only for as long as necessary in accordance with applicable laws.

On the closure of your account, we may keep your data for up to 7 years after you have canceled your services with us. We may not be able to delete your data before this time due to our legal and/or accountancy obligations. We may also keep your data for research or statistical purposes. We assure you that your personal data shall only be used for these purposes stated herein.

For users that register on our website, we also store the personal information they provide in their user profiles. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Our website administrators can also see and edit that information.

What Data Breach Procedures We Have In Place

In the event of a data breach, we shall ensure that our obligations under applicable data protection laws are complied with where necessary.

Should any event occur where a user’s and/or customer’s data has been lost, stolen, or potentially compromised, our policy is to alert them via email no later than 48 hours of our team becoming aware of the event. We will also report such incidents to any required data protection authority. We will work closely with any users and customers affected to determine any further action that may be required, and how to avoid any similar event in the future.
